The printer does not print word documents

A printer is an essential tool for both home and office use nowadays. However, there are times when people face problems with printing their documents. In this article, we will discuss the possible reasons behind these issues and explore some solutions to restore the printing function.

Why the printer does not print a word document?

The causes can be classified into two groups:

• printer-related technical glitches;
• software malfunctions, indicating potential issues with the driver, the application, or the operating system.

Troubleshooting problems with printing Word documents

Let’s identify the cause of the problem and take action to restore functionality:

• Inspect the printer’s connection to the PC to ensure the wires are intact (by external examination) and test the functionality of the USB input by connecting any external media to the port.
• Check the ink level in the cartridges to ensure it is sufficient for printing, and refill as needed.

By the way! Laser devices often have a special blocker in the toner that automatically prevents further printing once a certain number of pages have been reached, regardless of the amount of colorant remaining. The method for removing the blocker depends on the specific model.

• If you are experiencing issues with a network printer, it may be necessary to remove any pending print jobs to ensure that the printer can function properly. Sometimes, a previous job may become stuck in the queue and prevent new jobs from being processed. To clear the print queue, you can try restarting the multifunction printer (MFP). If restarting the MFP does not resolve the issue, you can follow these steps: go to the Start menu and select Devices and Printers. Find the specific printer in the list and click on it. To view the documents waiting to be printed, click on the "View Print Queue" button. You can delete individual print jobs by pressing the Delete key, or you can select the "Clear Queue" command to remove all pending jobs.

If your MFP is not set as the default printer, it may not receive priority for printing. To check this, open the Control Panel and go to the Devices and Printers section. Find the desired printer in the list of devices, right-click on it, and select the "Set as Default Printer" option from the menu.

Important: Within the same menu, you have the option to click on the "Troubleshooting" link and run a hardware diagnostic.

• Let’s attempt to print a test page. To do this, simply double-click on the device icon within the previous section and navigate to "Properties". In the General tab, click on the "Test Print" button. The results will indicate the nature of the problem: if there are streaks or uneven coloring on the page, it means there is an issue with the cartridge. If the page is blank, it indicates a printer malfunction.
• The next step is to ensure that the drivers for the printer model are up to date. Go to the Control Panel and open Device Manager. In the list that appears, locate and select the desired device. Click on it and choose the "Update Driver" option. There are two options to choose from:
• An automatic update feature is available, allowing the system to independently locate and install the necessary component. However, there may be instances where the driver cannot be found.
• To manually search for the driver, you will need to visit the manufacturer’s website of the printing unit. From there, enter the model name in the search field and select the corresponding utility based on the operating system’s bit capacity. Simply download and install the application.

If difficulties arise with printing due to operating system malfunctions, such as a virus infection, it may be necessary to restore the system. Complete reinstallation might be required if no backup copy is available.

Checking files and parameters of the Word program

Make sure to select the correct printer in the print window to avoid any printing issues. If the printer is not listed, check its readiness by following the above methods.


 

If a document has restricted functionality, it can prevent the printer from working. Look for any corresponding message at the top of the editor window. To remove the restriction, use the "Save As" option to save the document with a new name in the standard format. Open the newly saved copy, which should no longer have most of the restrictions, including editing.



If creating a copy doesn’t solve the problem, go to the Review tab and activate the "Disable protection" option in the "Restrict editing" box. Don’t forget to save the changes.

Now, we will verify the printing capability of the program. Begin by creating a new empty document and typing the sequence =rand(10) in its field. Press Enter, and you will see several paragraphs of random text. Try sending this text to the printer to check if the printing function is working.

Note. If the printing is successful, you can also experiment with changing the font in the "Home" tab or inserting a picture using the "Insert" tab. After making these changes, send the document to the printer again to ensure that all functions are working properly.

Restoring the functioning of Microsoft Word

There may be instances where a program experiences a failure that cannot be resolved using the methods described above. In such cases, it becomes necessary to reinstall the program.

• Close all Office applications.
• Navigate to Control Panel – Programs and Features.
• Locate Word in the list of Microsoft Office programs, highlight it, right-click, and select the "Change" option from the menu.
• Select "Restore Word" and click the "Next" button.

Reinstallation can also be performed using other tools, depending on the version:
